Word 2003 Tips

Double View

To view two non-contiguous sections of your document on the screen, create two horizontal windows:

  • Double click (or drag) the small line (the split bar) found immediately above the vertical scroll up arrow.
  • To close: Double click (or drag) the bold line between the two windows.

AutoCorrect

  • Turn on or off automatic capitalization of the first word of a sentence:
    Tools à AutoCorrect Options à AutoCorrect tab à Capitalize first letter of sentences
  • Turn on or off creating hyperlinks for Web addresses or emails:
    Tools à AutoCorrect options à AutoFormat as You Type tab à in the Replace as you type section check on or off Internet and network paths with hyperlinks
  • Turn hyphenation on or off:
    Tools à Language à Hyphenation

AutoText

Word will automatically insert commonly used text (for example, today's date) when you start typing the text. (The text appears in a pop-up box and you press Enter to have the text added to your document.) To add text to AutoText:

  1. Tools à AutoCorrect Options à AutoText tab
  2. Type in the phrase in the box labeled Enter AutoText Entries Here
  3. Click OK

Bullets and Numbering

  • To add a line in a list without adding a bullet or number:
    Hold the Shift key and press Enter
  • To change the type of bullet or to change the starting number of a numbered list:

•  Right click on a bullet or the first number in the list

•  Left click on Bullets and Numbering

•  Select either the Bulleted or Numbered tab and make your selection
Note: In the Numbered tab look for Restart Numbering or Continue previous list

Hide Text

  • To hide: Highlight text à Format à Font à Font tab à in the Effects section check Hidden
  • To view hidden text: Tools à Options à View tab à in the Formatting section check Hidden text. Text will display with a dashed underline.
  • To print hidden text: Tools à Options à Print tab à in the Include with Document section check Hidden text

Highlight (or Select) Text

  • To highlight a single word: Double click the word
  • To highlight a sentence: Hold the Ctrl key and click anywhere in the sentence
  • To highlight a paragraph: Triple click anywhere inside the paragraph
  • To highlight text in noncontiguous blocks: Highlight the first block, then hold the Ctrl key and highlight the additional blocks
  • To highlight a long section of text: Double click the first word of the section, scroll to the end of the section, hold the Shift key and click immediately to the right of the last word.

Print Part of a Document

Highlight the text to print à File à Print à in the Page Range section select Selection

Find Text

To quickly jump to a section of your document (you must have used Styles in your document):
Click View à Document Map

Full Menus

Word shortens menus to show recently used commands first. To show full menus:

Tools à Customize à Options tab à check Always Show Full Menus

Track Changes

Tools à Track Changes

When you delete text, a cutout will appear showing what was deleted. When you add text, the text will be added in red and underlined.

Faster Printing

Print in Draft or Less Ink mode:
File à Print à look for Draft or Less Ink mode. If you do not see it, click on a different tab or the Properties button.
